Privacy Policy — Product/PO/Transfer Management

Groundwire Systems LLC (“we,” “us”) builds Product/PO/Transfer Management (the “App”), a Shopify app that imports and manages products, purchase orders, and transfers in your Shopify store from your vendor, and other, files. This policy explains what the App accesses, why, where it is kept, and how it is deleted.
What the App accesses
Your Shopify store data. With your permission, the App reads and writes your products, inventory, locations, publications (sales channels), inventory transfers, and inventory shipments (receiving) to do its job. The App does not request access to your customers or your orders — it holds no shopper names, addresses, payment details, or order history.
Account information. When you install or sign in, Shopify provides an authentication session so the App can act on your store. It may include the name, email, and locale of the person authenticating. We store it only to keep you signed in.
Information you provide. To run the features you choose, the App stores what you enter: import files’ contents (product details, SKUs, costs, prices), your mapping templates and rules, reorder targets, purchase-order drafts, and an import history. For the optional image and price-check features, it stores the vendor portal links you add and the login session cookie you paste for them — encrypted, and sent only to the site you saved it for. When the App cannot match a column in an uploaded file automatically, it may send that column’s heading and a few sample values to our AI provider (Anthropic) for a mapping suggestion — see subprocessors below.
Vendor website content. When you point a feature at a vendor’s catalog page, the App fetches and caches that page’s public product information to read it.
Billing and usage. To apply your plan’s limits, the App records your store’s domain, plan, and usage counts (such as active vendors and import totals). Payments are handled entirely by Shopify — the App never sees your card or bank details.
How we use it
Only to provide the App’s features, enforce your plan, keep the service working, and diagnose errors. We do not sell your data, and we do not use it for advertising.
Who processes it (subprocessors)
- Shopify — the platform the App runs on.
- Neon — database hosting (United States).
- Fly.io — application hosting (United States).
- Anthropic — AI-assisted column mapping; receives only the headings and a few sample values of the file columns the App could not match on its own, never your customer or order data (United States).
- Sentry — error monitoring, which may record technical details of a failed request (United States).
Your data is stored in the United States.
How long we keep it, and deletion
- When you uninstall, the App immediately deletes your access tokens and any saved vendor login cookies.
- About 48 hours after uninstall, Shopify sends a shop-redact request and the App purges all remaining data for your store. You can also request full deletion at any time by emailing us.
- Because the App holds no shopper data, Shopify’s customer data-request and customer-redact requests have nothing to return or erase; a shop-redact request deletes everything.
Security
Data is encrypted in transit (HTTPS). Saved vendor login cookies are encrypted at rest. Each store’s data is isolated so one store can never read another’s.
Your rights
You may request a copy of your store’s data or its deletion by emailing GroundwireSystems@gmail.com. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; contact us to exercise them.
Changes
We will update this policy as the App changes and revise the effective date above. Material changes will be noted in the App or its listing.
